Following the update from the government – Scott Castle will like to provide the following update.
During the current period of uncertainty Scott Castle has implemented a series of measures to protect both employees and their families, as well as our tenants. As a team of 8 people we will continue to manage over 500 properties and we are here to help.
Our support is offered to everyone at this difficult time. Communication is key to ensure we work together.
From Monday 18th May 2020, Our office opening hours will be 9am till 430pm – Monday to Friday.
For the safety of everyone and social distancing we ask that only 1 person is in the front of our office at a 1 time. If someone is in the office being served, please wait outside our office until they exit. If you do not need to travel to the office, then please do not. Most of our services can be accessed over the phone or via email.
One key service that cannot be accessed without travel is Electric Meter Cards. Tenants whose electric is via prepayment card meter can still collect them from our office with the above measures in place. We suggest at this time you buy a few additional cards.
We would prefer to reduce the level of contact between staff and customers and therefore ask payments that are made are via Debit/Credit Card or Banks Transfer.
Debit/Credit Cards transactions can be done over the phone. If you require our bank details then please ask. If the only option is to pay via cash then please advise staff before payment is made to allow staff to wear gloves. Our office has a protected screen across the front creating a physical barrier however we still ask for the 2-meter distance.
Our team will continue to manage the phone systems and email network throughout this time.
Following the most recent government update, contractors will begin returning to work in properties to complete required repairs. During these times returning contractors will be prioritising repairs and will be working through the backlog as quickly as possible.
Contractors have been asked to contact tenants prior to attending to confirm if they are experiencing any COVID19 symptoms / self-isolating and happy for the repair to be completed. It is important that tenants feel comfortable with the repairs being completed. If a repair cannot be completed, then this shall be recorded on our system with the reasons why. As agents we understand you may not want contractors in your home during this time so if you have concerns then please raise them.
If an emergency arises or a routine repair is completed, we ask you to keep 2 meters distance from the contractor and that the contractor may be wearing Personal Protection Equipment.
Contractors instructed by Scott Castle are not directly employed by Scott Castle and will have their own Coronavirus Protocol. If you have any questions, then please ask.

At this time Scott Castle will now begin conducting viewings at empty properties as part of our initial phase.
Government guidance have been issued which is provided on the link below.
Scott Castle will be conducting the following process.
1. Viewings will be conducted currently at only empty properties and by appointment only at this time.
2. Prior to a viewing, door handles will be wiped down by Scott Castle
3. Prospective tenants and agent are required to antibacterial hands prior to entering the property (provided by agent)
4. Appointments will be made to meet at the property
5. Viewings are limited to a max of 2 people from the same household inside the property at once with the agent whilst following the Social distancing guidance.
6. The agent will discuss any other matters away from the property via phone or email to limit the contact between parties.
7. If you have any COVID19 symptoms or are self-isolating, then we are not able to proceed with any viewings
8. The agent will ask via text message to confirm your appointment and if you currently do not have any symptoms or self-isolating. This will be held on record. A response is required to the text message prior to the appointment. No Reply, No Viewing.
9. A holding deposit must be paid via card or bacs. Cash is not accepted at this time.
Should a viewing result in a possible confirmed let then an application process will begin.
Applicants initially will complete an online document providing the required information for referencing.
When visiting our office to complete any application process and moving in (signing tenancy agreement etc) our office will have a social distant meeting room to allow paperwork to be signed and be cleaned before and after every appointment. This is away from the public who enter our office for other matters.
Scott Castle at this time will not be conducting routine property inspections however we continue to visit communal area to check fire alarms and emergency lights to ensure you remain safe.
